The FACES is a very comprehensive web based software solution for the freight forwarding and clearing industry. This provides an extended ability to manage each and every job received by the organization. It covers ocean export, ocean import, air export and air import. The important modules in this application are:   Job Scenario Management Job Enquiry Management Job Rate Management Job Card Management Job Document Management Job Track and Trace Invoice and Receipts Ocean Export Ocean Import Air Export Air Import CRM Reports MIS Administration Utilities     Job Scenario Management   This module is used to manage various job scenarios. A job scenario is a template of various forwarding activities common on a specific case of operation. This will reduce the data entry requirements of the user as many a time jobs belongs to the same scenario will come repeatedly.     Job Enquiry Management   This module is used to manage all the sales lead comes to the customer relations department which can be proceeded in with further sales activities like quotation, vendor enquiries, job card issue, etc.     Job Rate Management   This module is used to manage the rates of the organization as well as its vendors. As the user receives a job enquiry from the customer relations department, the user can start source various activities to be purchased from third party vendors. They is a price enquiry module which will dispatch email based price requests to selected vendors and their quotation rates can be updated in the system after the approvals. Then the user can get into the preparation of quotation for the lead and submit it after an approval.     Job Card Management   This module manages all the forwarding jobs. Any actual job will have a unique job number and a virtual job card will be created in the system. The user can have all the activities related to the selected job number along with their actual prices, price revealed to the foreign port agents, cost, etc. Also the user can enter the cost elements against each of the forwarding activities in the job card. This will enable the user to find out the profit/loss of the job at once on the screen. The user can update the statuses of each activity as soon as they are completed. Finally, as all the activities are completed and billed, the entire job will be marked as completed.     Document Management   Along with the job card management module there is an electronic document management system called Job Document Management. This module creates an efolder against each forwarding job and all the relevant document related this job can be scanned and uploaded to this efolder. So in case of any reference in the future, the user doesn't want to check for the physical files to get any document, rather the user can open the efolder of that job and double click on the document link.     Job Track and Trace   This module is used to track and trace the jobs that are all ready been completed and exist in the database. This tracking can be on various parameters like date range, port, client, an activity, vendor, etc. Both the cost and prices can be tracked in this module.     Invoice and Receipts   This module is used to bill the job cards entered and approved in the system. A job can be billed completely or partially and the invoices can be printed or dispatched as email attachments. Also there are facilities to issue debit notes and credit notes to the clients. The user can also bill a job to their agents.     Ocean Export   This module is used to manage all the ocean exports. The user provided with the facility to create voyages in this module. Then the user can enter the bill of lading manifest into the system and issue BL from the system. The system can have any number of BL formats. Also the user can print the manifest and also issue the shipping certificates through this module.     Ocean Import   This module is used to manage all the ocean imports. The user provided with the facility to create voyages in this module. Then the user can enter the bill of lading manifest into the system and can send arrival notice via fax or email through the system. The user can also issue DO from the system. Also the user can print the manifest.     Air Export   This module is used to manage all the forwarding jobs having air export involved. The user can create various flights in the system and prepare air way bill for the client. Then the user can print AWB from the system. The system can have any number of AWB formats.     Air Import   This module is used to manage all the air imports. The user can create various flights in the system and enter the air way bill details. Then the user can send arrival notice via fax or email through the system. The user can also issue DO from the system.     CRM   This module is a mini customer relations management which will help the organization on their marketing activities. The first part of this module handles the executive appointment management which will track the meetings and follow ups of each and every marketing executive in the organization. The second part is a claim module which is used to settle various claims from/to clients. The third and the final option is a mass mailer for special offers. The mailer provides an HTML standard editor to design the special offers and then it can be sent to either all customers or to a selected group of customers.     Reports   The system has a very comprehensive set of reports which are attached to each of the above narrated modules as well as a single module altogether. This has reports from simple master listing to very complex drilldown reports. The outputs can be exported into various contemporary file formats like pdf, xls, doc, rtf, xml, etc.    MIS   Besides a detailed list of reports provided as a part of each module, the system provides a very advanced list of information grouped as MIS.
